Administrative Assistant, Building & Life Safety Department

The Village of Arlington Heights is seeking a detail-oriented and organized Administrative Assistant to join the team in the Building & Life Safety Department. The Administrative Assistant will play a key role in supporting the Building, Fire Safety Services, Code Enforcement, and Permits & Licensing teams, promoting safe and resilient buildings for all.
 
As an Administrative Assistant, you will have the opportunity to provide comprehensive administrative and organizational support to the department, while providing outstanding customer service by phone, e-mail, and in-person. Responsibilities will include supporting Permit Technicians as needed, elevator inspection services, consultant management, payroll support, event planning and preparation, purchasing and invoices, account management, and responding to FOIA requests. This is an excellent opportunity to join a department which has earned recognition by the International Accreditation Service for quality, permitting, plan review, inspection and property maintenance code enforcement services.
 
This position is ideal for someone who appreciates supporting teammates and ensuring quality standards. The ideal candidate will have a strong work ethic, exceptional organizational skills, and an ability to identify opportunities to continuously improve the department’s services. Successful candidates will have advanced knowledge of Microsoft Office Suite, especially Excel, as well as the ability to learn and use e-permitting software.
 
The salary range for this position is $69,390-$93,675, with an anticipated hiring range of $69,390-$71,306, depending on qualifications and experience. This is a full-time position with a 37.5-hour work week, Monday-Friday. Successful candidates will have at least a high school diploma, FOIA training and experience, and one to three years of experience as an Administrative Assistant or in a similar role.  While experience in building and life safety, municipal government, or construction-related fields is preferred, it is not required.
