Administrative Assistant, Village Manager's Office

The Village of Arlington Heights is seeking a proactive and detail-oriented Administrative Assistant to support the Village Manager’s Office. The Administrative Assistant will provide comprehensive administrative support to the department and is an important part of a team committed to providing excellent customer service to residents and the business community. The Village Manager’s Office also provides administrative support to the Mayor and Village Trustees.

In this role, the Administrative Assistant is essential for managing customer service needs, coordinating projects, and assisting in daily operations. The Administrative Assistant is responsible for preparing and editing reports and correspondence, coordinating meetings, preparing Village Board agendas, and transcribing meeting minutes.  In addition, the Administrative Assistant will support with the application process for liquor licenses. Other duties may include financial record keeping and responding to FOIA requests.

The ideal candidate will have a strong work ethic, exceptional organizational skills, and the ability to promote a positive image through a responsive, customer service mindset. The ability to interact with staff at all levels, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Excellent written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

The salary range for this position is $67,238-$90,770, with an anticipated hiring range of $67,238-$71,007, depending on qualifications and experience. The Administrative Assistant will work a 37.5-hour work week and will be offered a diverse and competitive benefits package, including health and dental insurance, paid vacation, opportunities for professional development and participation in the Illinois Municipal Retirement Fund pension plan. 

Successful candidates will have advanced knowledge of Microsoft Office Suite as well as the ability to learn and use permitting software. A High School diploma or equivalent and at least three years of experience with increasingly responsible office support, including public contact and the full range of technical and administrative duties is preferred.
